Bringing a team? Start together ↗Can Tarca replace my other work apps?+
Absolutely. Manage client relationships, plan projects, build flowcharts, collect information, and turn meetings into transcripts, summaries, and next steps in one connected workspace. Your contacts, tasks, files, and notes stay together. You get the tools to do the work, plus the connections between them. AI Meeting Notes is an optional add-on after your trial.
Who is Tarca for?+
Independent professionals, founders, consultants, operations leads, and teams whose work moves between projects, clients, and follow-ups. Start with the tools you need. The rest are there when your work calls for them.
Can I use it on my own, or with a team?+
Both. Start on your own, or invite teammates into a shared workspace. My work brings your assigned tasks together across projects, so you can plan your day while the team sees the broader work.
Do I have to update a task in more than one place?+
No. A task in My work and its shared project is the same task. Status changes, notes, and updates stay connected. In Scheduled, choose List or Calendar. Filter the calendar by Scheduled, Deadlines or Both, while keeping your personal plan separate from the project’s deadline.
Can an email become a task?+
Yes. Send, forward, CC, or BCC your unique Tarca address. The subject becomes the task title; the message and supported attachments stay with it in your private Backlog. Link an existing contact or review and add a new one. Your address is in Settings → Connections; no mailbox connection is needed.
Can I create a task from inside Outlook?+
Yes. Open a received email and choose Add to Tarca. Edit the title and message, optionally choose an existing project or contact, then create a private Backlog task. The add-in captures the selected email’s text; attachments stay in Outlook. Try the sample.
How do I install the Outlook add-in?+
Follow the Outlook setup guide to install the custom add-in for your Microsoft 365 mailbox. Your organization’s policy may require an administrator’s approval. The add-in reads the email you select; it does not send email or sync your mailbox.
Can I create a task by text?+
Yes. In Settings → Connections, link your US or Canadian mobile by sending the one-time LINK message shown. Then text Tarca to create a private Backlog task. Keep it to 160 plain-text characters, without emoji or attachments. Check Backlog for the task; Tarca sends no automatic reply. See the steps.
Can forms handle the follow-up for me?+
Yes. Publish a form and choose what happens after a response: create a contact or task, notify you, or send a personalized confirmation email. Save responses to a table when you need one. Simple selections handle the basics; you can combine actions for a fuller workflow.
Do clients need a Tarca account?+
Not to fill out a published form or reply to an external update request. Clients and vendors can send the requested details, comments, and files without creating an account or using a paid seat.
Can I bring my existing work?+
Yes. Import CSV and Excel spreadsheets, text, Markdown, Word documents, and text-based PDFs. Review a monday.com import or keep matching tasks updated with one-way sync into Tarca. Start with one project or bring more across as you go. The user guide covers supported imports and setup.
Can I connect other tools to Tarca?+
Yes. Email to Task, Text to Task, and the Outlook add-in bring messages into your work. monday.com supports reviewed imports and one-way sync. The public API v1 beta gives your own tools scoped access to tasks and projects, including creating and updating tasks.
How do AI Meeting Notes work?+
Open Meeting Notes in Library. Record, upload audio, or paste a transcript. Tarca identifies the meeting context, or you can choose a type and add background. Get a structured summary, decisions, and suggested actions. Review and edit actions, then add them to My work → Backlog with the related project or person.
Can I check, copy, and reuse the meeting notes?+
Yes. Summary references show the supporting transcript excerpt. Copy the formatted summary without those references, or copy the transcript separately. Connect the note to contacts, companies, projects, or tasks so the context stays close to the work.
Are my meeting notes private? Do you keep the audio?+
Meeting notes are private to you, including when linked to shared work. Your transcript and summary stay in Library. Audio is temporary and removed after processing; Tarca is not an audio or video recording archive. Meetings can run up to three hours.
How does the free trial work, and what does it cost?+
Start with 14 days free, no credit card required, including 600 AI Meeting Notes minutes for the trial. The workspace is $19/person/month. After the trial, AI Meeting Notes is an optional $15/person/month add-on with 600 minutes each month and no automatic overage charges. Applicable taxes extra.
